VMAGROUP is looking for a bright and articulate receptionist to immediately join the team!

Working with the Head of Reception and Facilities, you will be responsible for all reception duties, while supporting various departments with general administrative matters.

Reception Duties

  • Meeting and greeting visitors and assisting candidates
  • Operating phones, answering all incoming calls, transferring to required extension, accurately taking messages
  • Closing of office and covering for Head of Reception on early shift when required
  • Being held responsible for management of keys
  • Listening to voicemails and passing on messages quickly and efficiently
  • Ensure that all messages taken are delivered promptly to colleagues in the UK and Europe
  • Booking and updating meeting rooms
  • Checking meeting rooms after every meeting, ensuring that they are clean, tidy ready for use
  • Notifying internal staff of arrival of visitor
  • Making teas and coffees for visitors, ensuring their experience of VMA is a positive one
  • Making sure that day to day reception tasks are met
  • Quality control
  • Making sure the office is kept clean and tidy
  • Ensure the reception area is kept fully staffed at all times to manage with calls both internally and externally
  • Managing the reception area and taking pride in its appearance
  • Order local taxis for consultants and event requirements
  • Booking of lunches and refreshments when required & set out and clear when required
  • Managing Job Advert inbox
  • Regular Skype set up for internal meetings
  • General ad hoc duties

Administration Duties

  • Updating profiles for clients and candidates on the VMA database
  • Event support, ordering refreshments, preparing the meeting room, creating name badges
  • Assist with posting job adverts
  • Ensure that CVs are formatted to a high quality, ready for submission as requested by the individual consultant
  • Work overflow support for the Recruitment Coordinators
  • Ad hoc projects for the wider business

  • Excellent telephone manner
  • Strong customer service skills
  • Must be able to work in a team and well as on your own initiative
